Food Vendor Application

The Lowcountry of Charleston needs you and your yummy local foods…Lets fuel the minds of our families with some amazing food! In 2018, the Charleston STEM Festival will have more than 12,000 visitors.

The Charleston STEM Festival will be taking applications for food vendors; this is to ensure that we have a diversity of food types throughout the day and that each vendor can accommodate the large numbers anticipated for 2018. We have requested 12 food vendors for the festival, but the actual number will be dependent on the City of Charleston. Food trucks that participate in the Festival will be required to donate 20% of their proceeds to the festival.

Insurance

Vendors must supply the Charleston STEM Festival with a certificate of general liability insurance listing the festival as an additional insured for the date of the event, February 11, 2017. Any vendor not supplying this document will be excluded from the event. Coverage must be at least $1,000,000 general aggregate and $500,000 each occurrence.

Festival information

Food vendors are contracted for and must be open and staffed for service from 11:00 AM through at least 3:00 PM of the 1- day Charleston STEM festival. However, food vendors must be at the festival to set-up no later than 9:45 AM as vehicles will not be permitted in the area once the festival begins. There are no exceptions to this rule.

The festival will be on February 03, 2018. Festival hours run from 10:00 am to 3:00 pm

Rain Date/Refund
There is no rain date for the Charleston STEM Festival, and there are no refunds for services lost from inclement weather.

Withdrawal
Vendors must notify the Charleston STEM Festival team by electronic mail (Beth or Cyndi) by January 15, 2018 that they are unable to participate in the event.

Spaces
The Charleston STEM Festival reserves the right to assign or reassign any or all food vendor locations. No guarantee of a specific space is given or implied. Vendors will be selected based on a variety of factors, to include, your willingness to give back to the festival, your ability to accommodate the large numbers, and your menu. We will be choosing a variety of different types of food, as well as family-friendly fare, so that festival goers have varying options for the day.

Food vendors may not share, assign, sublet, donate or trade any portion of their assigned space at the festival. Please note that the Charleston STEM Festival does not provide chairs, extension cords, power strips, lighting, etc. for food trucks. Food trucks, their staff, and all equipment must stay within their allotted space.
Vendors are prohibited from using any form of amplified sound in their area or café space.

Beverage Policy
Food vendors and their staff are prohibited from consuming or selling alcoholic beverages.

Paper Products
Food vendors must supply their own plates, bowls, cups (clear plastic preferred for cold drinks, and insulated hot drink cups for hot beverages), napkins, and utensils required for serving food to customers. Trash and recycling containers will be on site.
